The primary form of identification must bear a photograph and signature. We prefer to see the original document, but if this is not possible, copies must be certified as a true copy of the original. Acceptable forms of identity include:

The passport, driving licence or national identity card must be valid, up to date, be signed by the holder and include a photograph.
We must also be informed if you are a politically exposed person (PEP) or if you are immediately connected to someone who is, i.e. a spouse, parent or child as we may need further information.

2. Proof of Address

The second form of identification will need to confirm your permanent residential address;

Full UK photo card driving licence bearing your residential address (if you have not already provided it as your proof of identity);

UK or foreign bank credit card / bank statement (dated within the last three months and not printed from an online banking facility);

UK mortgage statement (dated within the last 12 months and not printed from an online account);

UK council tax bill (for the current year);

Letter/bill from utility company (less than 3 months old, except for water bills, which must relate to the current charging period). The letter you receive must confirm you receive a service from the company and cannot be printed from an online account. Unfortunately, mobile phone bills are not accepted;

UK TV Licence letter or Direct Debit schedule (less than 12 months old). This should confirm your name, address and existence of a TV Licence.

3. Certification of Documents

As Accountants we can certify your documents as true copies if you visit us at the the offices with your original valid documents. Otherwise a UK government list of those who can certify documents is available here. Please note that the person providing the certification cannot be someone :

Related to you by birth or marriage;

In a relationship with you or live at the same address as you.

The format for certification is as follows:

Use an official stamp or, if not available, certify by means of an accompanying letter on company letterhead confirming which documents have been certified.

Provide the following certification wording directly on the front copy of each document :State “Certified to be a true copy of the original seen by me”;identify each such page – certification on reverse of the document page is not permittedPrint name clearly in capitals;Sign and date the copy document;Clearly indicate their position;Provide the name and address of themselves or their organisation ;Provide the name of the member organisation together with their membership number, if applicable.
For security reasons if sending originals of the above documents through the post, please ensure you use Special/Recorded delivery as we cannot be held responsible for their safe receipt. Documents should be sent to our offices clearly marked with your name or organisation name.

We may also use an online electronic verification check for our records.

How long will we hold your data for?

Contracted Services: we will hold your data for 7 years in line with our regulatory requirements.

How will we use the information and why?

At GKPP we take your privacy seriously and will only use your personal information to provide the Services you have requested from us, detailed in your Letter of Engagement and supporting schedules and as we have identified above.  We will only use this information subject to your instructions, data protection law and our duty of confidentiality.

For Business to Business clients and contracts our lawful reason for processing your personal information will be “legitimate interests”.  Under “legitimate interests” we can process your personal information if: we have a genuine and legitimate reason and we are not harming any of your rights and interests.

We may receive personal data from you for the purposes of our money laundering checks, such as a copy of your passport.  This data will only be processed for the purposes of preventing money laundering and terrorist financing, or as otherwise permitted by law or with your express consent.

Our work for you may require us to pass your information to our third-party service providers, agents, subcontractors and other associated organisation for the purposes of completing tasks and providing the services to you on our behalf.  However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the services and we have contracts in place that requires them to keep your information secure and not to use it for their own direct marketing purposes.

We collect information on our website to process your enquiry, deal with your event registration give advice based on survey data and improve our services.  If you agree, we will also use this information to share updated with you about our services which we believe may be of interest to you.

We will not share your information for marketing purposes with companies so that they may offer you their products and services.
